What we collect

Information needed to care for your child and meet Washington DCYF licensing rules (WAC 110-300): enrollment details, guardian and emergency contacts, authorized pickups, attendance with electronic signatures, health and immunization records, allergy and care plans, medication authorizations and logs, incident reports, daily activity notes, photos (only with your consent), billing records, and staff employment, training and payroll records.

Who can see it

Parents/guardians see only their own children. Staff see children in their care as needed for their job. The director and DCYF licensors (and other authorities as required by law, such as Child Protective Services or the health department) may review records. Every view of a child’s record, staff file or tax document is recorded in an access log.

Photos

We only share photos or video of your child if you have signed the photo/video permission. You can change this any time in Forms.

Payments

Card and bank payments are processed by Stripe. We never see or store full card or bank account numbers.

How long we keep records

Records can’t be deleted early. Attendance and staff time: 5 years. Pesticide records: 7 years. Other child, health and staff records: at least 3 years (longer when the law requires). After that, records are reviewed and securely purged.

Security

Passwords are hashed; sign-ins are protected; data is backed up nightly to encrypted storage; records are append-only with an audit trail of every correction.

Your choices

You may review your child’s records, request corrections (we add a correction rather than erasing history), and withdraw optional permissions. We never sell your information. Questions: (253) 385-2245.

Reporting

As mandated reporters, staff must report suspected abuse or neglect to DCYF/law enforcement as required by RCW 26.44.
